Workflow Review

Your team already knows what's broken.
We'll tell you what to fix first.

Operations lose momentum to manual checking, document rework, missed follow-ups, duplicate entry, and broken handoffs. Start with a free fit check, and we'll tell you whether a focused Workflow Review is the right fix.

Every week the work stays manual, it adds errors, chasing, rework, and cost nobody's tracking.

Who this is for

This Review is for teams with a workflow worth fixing.

We accept Review requests where the workflow has enough repetition, risk, or cost to justify a system we can operate.

If the workflow is not a fit, we will decline clearly. We do not sell a Review when we cannot see a clear path to improvement.

Good fit

  • A repeated workflow, not a one-off task.

The same work should recur every week or month, with enough volume for improvement to matter.

  • Documents, records, approvals, or handoffs.

The review is strongest where work moves through files, checks, exceptions, and people.

  • A named process owner.

We need someone who can describe the workflow, confirm what matters, and own the next step.

  • Enough volume for an operated workflow to matter.

The workflow should carry enough cost, risk, or repetition to justify a managed system.

  • Willingness to share redacted examples.

Samples are optional, but useful when they show how the work actually moves and breaks.

Not a fit

  • One-off chatbot requests.

Workflow Review is for repeated operational workflows, not standalone AI demos.

  • Generic prompt experiments.

The review needs a real business process with an owner, inputs, decisions, and outputs.

  • Brochure websites.

Scellus reviews document-heavy operating workflows, not marketing-site projects.

  • Low-volume admin tasks.

The workflow needs enough repetition, risk, or cost to justify a system we can operate.

  • Exploratory AI conversations with no process owner.

The review works only when someone close to the workflow can explain where it breaks.

01

Staff claims.

Problem
Receipts, statements, and approvals arrive everywhere.
Possible system
One intake point, exception checks, and payroll-ready output.
Result
Claims cycle cut from 10-14 days to 2-3 days; HR time down from around 160 to 52 hours a month.
02

Trading operations.

Problem
Orders, invoices, shipments, and follow-ups live in separate tools.
Possible system
Status, documents, reusable data, and exceptions in one operating view.
Result
Sales processing speed nearly doubled within 3 months.
03

Shift coordination.

Problem
Scheduling, reminders, reviews, and payments depend on chat threads.
Possible system
Matching, updates, review records, and reporting structured into one flow.
Result
Reported 85% matching success rate and a 37% lift in conversion after launch.

What we review

Inputs, handoffs, tools, exceptions, approvals, outputs, reporting.

These are the operating points Scellus checks first. The goal is not a broad audit. We assess whether one workflow is suitable for Scellus to build and operate.

01

Inputs.

Where documents, records, messages, files, forms, and exports enter the workflow.

02

Handoffs.

Who receives the work, who waits for it, and where ownership becomes unclear.

03

Tools.

The email, WhatsApp, spreadsheets, portals, drives, CRM, ERP, payroll, or accounting systems involved.

04

Exceptions.

The conditions that force manual checking, rework, chasing, escalation, or judgement.

05

Approvals.

Who signs off, what evidence they need, and how approval history is captured today.

06

Outputs.

The reports, exports, summaries, bundles, records, or downstream updates the workflow must produce.

07

Reporting.

What status, ageing, risk, or throughput your team needs to see without rebuilding it manually.

08

Leakage.

The points where time, accuracy, revenue, or accountability slips out of the process.

What you receive

A workflow review note your team can act on.

You can use it with your IT team, your accountant, another vendor, or keep it as an internal decision note. Workflow Review is the first operating step before a possible workflow build. It does not commit you to a build with Scellus.

Workflow map.

A practical map of the inputs, handoffs, tools, exceptions, approvals, outputs, and reporting involved in one selected workflow.

Leakage points.

The breakpoints where work slows down, gets re-keyed, waits for a person, loses evidence, or creates avoidable risk.

System outline.

A practical first set of Scellus components, shaped around a workflow we can build, run, and support.

Risk areas.

The parts of the workflow that need more evidence, stronger ownership, better review controls, or clearer operating rules.

Next step.

A direct outcome: build-ready, needs more evidence, or not suitable for a managed workflow system at this stage.

We may tell you not to build.

Every review ends with one direct call — build now, handle it internally, or automate only the part worth it. Two of the three below say no.

This is the exact structure, evidence, and verdict format your review will use. (Company names are worked examples, not client records.)

First page of the shipment documentation Workflow Review sample, showing the Handle internally verdict.

Handle internally

Shipment documents to billing, single lane.

At 15-20 shipments a month on one lane, manual handling is cheaper. The review names the threshold that would change that.

How the process works

From fit check to written review note.

We only book time once we confirm a fit, receive the NDA, and clear the RM 1,999 review fee. This keeps the session focused on work we can help with.

  1. 01

You tell us what workflow is breaking.

We ask for your contact details, company, industry, the workflow that is breaking, and how often it happens.

  2. 02

We check fit within 1 working day.

Scellus checks for repeat volume, a clear owner, current cost or risk, and whether we can help.

  3. 03

If it fits, we send the NDA and RM 1,999 review fee.

Both must be cleared before scheduling. If it is not a fit, we decline clearly before asking for payment.

  4. 04

    You choose the session slot.

You may add up to two attendees. We recommend one process owner and one person who handles the work directly.

  5. 05

    We send the preparation brief.

The brief takes about 20 minutes. Redacted files are optional, but useful when they show the workflow clearly.

  6. 06

    We run the 45-minute review.

We map the workflow, identify leakage, confirm review points, and name the next commercial step within 2 working days.

What it costs

A fixed-fee review.
A scoped build, if you want one.

The fee covers the preparation brief, 45-minute session, workflow map, and recommended next step.

This fee is only requested once we've confirmed your workflow is a fit. Submitting for review costs nothing.

Workflow Build

Quote, build, operate.

If the review shows the workflow is build-ready, Scellus quotes a fixed scope, builds the recommended workflow components, and operates them with your team.

  1. 01

    Quote

Scellus writes a fixed scope, fee, and timeline from the review note for your team to approve.

  2. 02

    Build

We configure the recommended components with the systems you already use: email, drives, CRM, accounting, payroll, WhatsApp, or your own.

  3. 03

    Operate

Scellus runs the workflow on a monthly retainer, handles exceptions, and reports against the outcome your team is paying for.

Operating fees depend on workflow volume and exception load. We confirm them in the scoped quote.

Submitting this form is free and takes about 2 minutes. We review the workflow and reply within 1 working day. No payment is requested at this stage.
