Workflow Review

# You know what’s broken. We’ll show you what to fix first.

Operations lose momentum to manual checking, document rework, missed follow-ups, duplicate entry, and broken handoffs. Start with a free fit check, and we’ll tell you whether a focused Workflow Review is the right fix.

## We’ll tell you when not to build.

Every review ends with one clear call: build it, handle it internally, or automate just the one piece worth automating. Two of the three examples below land on **\[Don’t build\].** That’s normal, not a letdown.

This is the same format your real review will follow: structure, evidence, verdict. (The company names are stand-ins. Real client records stay private.)

![First page of the shipment documentation Workflow Review sample, showing the Handle internally verdict.](/examples/previews/workflow-04-preview.webp)

Handle internally

### Shipment documents to billing, single lane.

At 15-20 shipments a month on one lane, manual handling is cheaper. The review names the threshold that would change that.

![First page of the staff claims Workflow Review sample, showing the Build now verdict.](/examples/previews/workflow-01-preview.svg)

Build now

### Staff claims, end to end.

Duplicate entry and manual checking cost an estimated 70-120 clerk-hours a year. The repeated monthly crunch makes a focused build worthwhile.

Partial build

### Claim intake to case file, partial build.

Automate high-volume intake and document collection. Keep case evaluation with the fee earners who exercise professional judgement.

Who this is for

## This Review is for teams with a workflow worth fixing.

We accept Review requests where the workflow has enough repetition, risk, or cost to justify a system we can operate.

If the workflow isn’t a fit, we decline clearly. We don’t sell a Review when we can’t see a clear path to improvement.

### Good fit

* #### A repeated workflow, not a one-off task.
The same work should recur every week or month, with enough volume for improvement to matter.
* #### Documents, records, approvals, or handoffs.
The review is strongest where work moves through files, checks, exceptions, and people.
* #### A named process owner.
We need someone who can describe the workflow, confirm what matters, and own the next step.
* #### Enough volume for an operated workflow to matter.
The workflow should carry enough cost, risk, or repetition to justify a managed system.
* #### Willingness to share redacted examples.
Samples are optional, but useful when they show how the work actually moves and breaks.

### Not a fit

* #### One-off chatbot requests.
Workflow Review is for repeated operational workflows, not standalone AI demos.
* #### Generic prompt experiments.
The review needs a real business process with an owner, inputs, decisions, and outputs.
* #### Brochure websites.
Scellus reviews document-heavy operating workflows, not marketing-site projects.
* #### Low-volume admin tasks.
The workflow needs enough repetition, risk, or cost to justify a system we can operate.
* #### Exploratory AI conversations with no process owner.
The review works only when someone close to the workflow can explain where it breaks.

01

### Staff claims.

Problem

Receipts, statements, and approvals arrive everywhere.

Possible system

One intake point, exception checks, and payroll-ready output.

Result

Claims cycle cut from 10-14 days to 2-3 days; HR time down from around 160 to 52 hours a month.

[Read claims case study→](/work/turning-messy-staff-claims-into-payroll-ready-reports/)

02

### Trading operations.

Problem

Orders, invoices, shipments, and follow-ups live in separate tools.

Possible system

Status, documents, reusable data, and exceptions in one operating view.

Result

Sales processing speed nearly doubled within 3 months.

[Read trading case study→](/work/workflow-automation-tracking-application/)

03

### Shift coordination.

Problem

Scheduling, reminders, reviews, and payments depend on chat threads.

Possible system

Matching, updates, review records, and reporting structured into one flow.

Result

Reported 85% matching success rate and a 37% lift in conversion after launch.

What we review

## Inputs, handoffs, tools, exceptions, approvals, outputs, reporting.

These are the operating points Scellus checks first. The goal isn’t a broad audit. We assess whether one workflow is suitable for Scellus to build and operate.

input01

### Inputs.

Where documents, records, messages, files, forms, and exports enter the workflow.

fork\_right02

### Handoffs.

Who receives the work, who waits for it, and where ownership becomes unclear.

apps03

### Tools.

The email, WhatsApp, spreadsheets, portals, drives, and CRM involved, plus the accounting or ERP system of record — Xero, AutoCount, SQL Account, MYOB, or your own.

priority\_high04

### Exceptions.

The conditions that force manual checking, rework, chasing, escalation, or judgement.

approval05

### Approvals.

Who signs off, what evidence they need, and how approval history is captured today.

outbox06

### Outputs.

The reports, exports, summaries, bundles, records, or downstream updates the workflow must produce.

query\_stats07

### Reporting.

What status, ageing, risk, or throughput your team needs to see without rebuilding it manually.

leak\_add08

### Leakage.

The points where time, accuracy, revenue, or accountability slips out of the process.

What you receive

## A workflow review note your team can act on.

You can use it with your IT team, your accountant, another vendor, or keep it as an internal decision note. Workflow Review is the first operating step before a possible workflow build. It doesn’t commit you to a build with Scellus.

automation

### Workflow map.

A practical map of one workflow’s inputs, handoffs, tools, exceptions, approvals, outputs, and reporting.

commit

### Leakage points.

The breakpoints where work slows down, gets re-keyed, waits for a person, loses evidence, or creates avoidable risk.

folder\_managed

### System outline.

A practical first set of Scellus components, shaped around a workflow we can build, run, and support.

bolt

### Risk areas.

The parts of the workflow that need more evidence, stronger ownership, better review controls, or clearer operating rules.

arrow\_split

### Next step.

A direct outcome: build-ready, needs more evidence, or not suitable for a managed workflow system at this stage.

How the process works

## From fit check to written review note.

We only book time once we confirm a fit, receive the NDA, and clear the RM 1,999 review fee. This keeps the session focused on work we can help with.

1. 01send
### You tell us what workflow is breaking.
We ask for your contact details, company, industry, the workflow that is breaking, and how often it happens.
2. 02rule
### We check fit within 1 working day.
Scellus checks for repeat volume, a clear owner, current cost or risk, and whether we can help.
3. 03contract
### If it fits, we send the NDA and RM 1,999 review fee.
You must clear both before scheduling. If it isn’t a fit, we decline clearly before asking for payment.
4. 04event\_available
### You choose the session slot.
You may add up to two attendees. We recommend one process owner and one person who handles the work directly.
5. 05assignment
### We send the preparation brief.
The brief takes about 20 minutes. Redacted files are optional, but useful when they show the workflow clearly.
6. 06video\_call
### We run the 45-minute review.
We map the workflow, identify leakage, confirm review points, and name the next commercial step within 2 working days.

Transition model

## Take over the workflow without disrupting the operation.

1. 01
### Observe
We map the existing process, confirm the sources, identify exceptions, and establish the current baseline.
2. 02
### Run in parallel
We perform the workflow alongside the existing process so both teams can compare the results.
3. 03
### Take over
Once the workflow is stable, Scellus becomes responsible for the agreed operating scope.
4. 04
### Improve
We monitor recurring exceptions, adjust the workflow, and expand the scope when the first outcome is stable.

Pricing

## How managed workflow pricing works.

Most managed workflows include a one-time setup fee and a monthly operating fee. Pricing depends on volume, workflow complexity, integrations, review requirements, and service levels. The Workflow Fit Check confirms whether the process is suitable before any paid work begins.

Workflow Review

We assess the workflow, confirm fit, and define the operating scope.

Setup and transition

A one-time fee covers workflow mapping, rules, integrations, testing, parallel runs, and rollout.

Managed operation

A monthly fee covers ongoing processing, monitoring, exception handling, maintenance, and reporting.

Additional scope

New integrations, major workflow changes, exceptional data cleanup, or work outside the agreed service level is scoped separately.

After the Workflow Review, your proposal will set out the fee bands and a firm timeline. The Review confirms the volume, systems, review model, service level, and scope exclusions needed to price and schedule the work accurately.

What it costs

## A fixed-fee review.
A scoped build, if you want one.

The fee covers the preparation brief, 45-minute session, workflow map, and recommended next step.

We only request this fee once we’ve confirmed your workflow is a fit. Submitting for review costs nothing.

Workflow Build

Quote, build, operate.

If the review shows the workflow is build-ready, Scellus quotes a fixed scope, builds the recommended workflow components, and operates them with your team.

1. 01
Quote
Scellus writes a fixed scope, fee, and timeline from the review note for your team to approve.
2. 02
Build
We configure the recommended components with the systems you already use: email, drives, CRM, accounting, payroll, WhatsApp, or your own.
3. 03
Operate
Scellus runs the workflow on a monthly retainer, handles exceptions, and reports against the outcome your team is paying for.

Operating fees depend on workflow volume and exception load. We confirm them in the scoped quote.

Common questions

## Questions before you submit.

Clear answers to help you decide whether a Workflow Review is the right starting point.

### What is Workflow Review?add

It’s a paid, 45-minute review of one workflow on your team, available after a free fit check. We map how the work moves today, find where it breaks down, and recommend the next step. You get a written summary within 2 working days.

### Who performs the work?add

Scellus runs the repeatable parts of your workflow with software, automation, and AI. We monitor it, handle exceptions within scope, maintain the integrations, and report the results. Your team keeps judgement, approvals, and policy decisions.

### Are you an outsourcing company or a software vendor?add

Neither, exactly. We take over a defined workflow, with the scope, service level, and outcome agreed upfront, instead of supplying headcount or selling you a tool. We build the software the workflow needs and operate it ourselves. You pay for the result, not for access to a product.

### Will Scellus replace our team?add

No. We handle the repeated operational work and prepare exceptions for review. Your team keeps judgement, approvals, policy ownership, and any conversation that needs a human touch.

### What does it cost?add

A Workflow Review costs RM 1,999, credited in full if you build a workflow with us within 60 days. That covers the prep brief, the 45-minute session, the workflow map, and the recommended next step. We only ask for payment once we’ve confirmed the workflow’s a good fit — the fit check itself is free, and if we don’t see a clear path to improvement, we’ll say so before asking you to pay.

### Why charge for a review when other providers offer one free?add

A free consultation is usually a sales call in disguise. Workflow Review is a paid diagnostic — we prepare from your brief, run a structured session, and hand you a written review you can act on, with or without us. The fee funds that work, and we credit it in full if you build with us within 60 days.

### What does the workflow cost after the review?add

We quote the build as a fixed scope, fee, and timeline based on the review note. Ongoing operating fees depend on your workflow’s volume and exception load — we confirm those in the scoped quote.

### Why is the scope limited to one workflow?add

Clarity is the goal, not a broad audit. One workflow is enough to show whether the problem’s worth fixing, where it breaks, and what the recommended system should include. We can scope larger reviews separately if you need one.

### How much preparation do we need?add

You’ll fill out a short brief before the call — about 20 minutes of work. A redacted example of the work that breaks helps, if you can share one, but nothing else is required.

### Will you sign an NDA?add

Yes. Once we accept your workflow for review, we send the NDA and the RM 1,999 fee details together. Scheduling opens once you’ve signed the NDA and cleared payment.

### What about PDPA and data residency?add

We handle your brief, session notes, and workflow map under our standard data handling terms. Our infrastructure is Malaysia-resident, and we don’t move client-identifying material across borders. See our [data handling policy](/data-handling/) for details.

### Can it be done remotely?add

Yes — Workflow Review runs remotely by default, over Google Meet. The RM 1,999 scope doesn’t include an on-site visit, a full system audit, or a multi-department workshop.

### What happens after the review?add

Within 2 working days, we send you one of three outcomes: build-ready, needs more evidence, or not a fit for Scellus to build and operate right now. If it’s build-ready, we recommend a scoped workflow build.

### How soon can we schedule?add

Submit your workflow for a fit check first — we reply within 1 working day. If we accept it, we send the NDA and fee details, and open scheduling once both are done.

### Who actually runs the review?add

Scellus’s Workflow Team runs every review, and brings in subject-matter experts when the workflow calls for it. See [how the team is structured](/about/#team).

## Tell us which workflow is breaking.

We’re checking whether the work is repeatable, measurable, and suitable for a managed workflow. You don’t need a complete process map. A short description of what keeps getting delayed, rechecked, or rebuilt is enough.

The fit check is free. We reply within one working day and don’t ask for payment before we confirm fit.
